Sales recipePrep brief when a sales call gets booked
Someone books a call with you. Before it starts, you get a half-page brief on their company and three good questions in your inbox.
| Input | Calendar booking (Calendly/Cal.com) with the invitee's email domain |
| Tools | Calendly or Cal.com, Zapier/Make, Perplexity API or a web-search-capable AI step, Gmail |
| Time | Setup about 45 minutes. It replaces 10 to 15 minutes of tab-hopping before each call. That's our estimate. |
Download it
- n8n workflow (.json)Import in n8n: Workflows → Import from file. Then connect your credentials.
- Zapier blueprint (.md)Step-by-step rebuild guide. Zapier has no public import format, so this isn't one-click.
- Open the Zap editorCreate a new Zap and follow the blueprint.
The n8n file has three nodes (trigger, AI step, output) plus a read-me note. We check that its JSON structure is valid, but we haven't run every file in a live n8n instance, so test it with sample data before you switch it on.
Steps
- Trigger: new booking.
- Extract the company domain from the email (skip gmail.com etc.).
- AI research step with the prompt below.
- Email the brief to yourself 1 hour before (Delay until).
The prompt
Research the company at {{domain}}. Return: what they sell (1 line), size if publicly stated, 2 recent public items with links, and 3 discovery questions for a first call about [your product]. Cite every fact with a link; write 'not found' instead of guessing.Sample run
Booking from tomas@examplelogistics.lt
Sells: freight forwarding for Baltic e-commerce shops (link). Size: not found. Recent: (2 linked items). Questions: 1) How do you handle peak-season volume today? 2) …
Where it breaks
- Free email domains. Filter out gmail, outlook and similar addresses, or you'll get a brief on Google.
- Out-of-date news. Ask for dates next to each item and ignore anything older than 12 months.
- Anything customer-facing or money-related. Keep a human approval step until you've watched a few dozen runs and trust it.
Tool names and pricing change often, so check each tool's current docs before you build. Times on this page are estimates, not measurements.
