# Zap blueprint: Prep brief when a sales call gets booked

**This is a blueprint, not an import file.** Zapier has no public format for importing Zaps, so you rebuild these steps by hand in the Zap editor. It takes about 10–20 minutes (our estimate).

## Steps
1. **Trigger:** Calendly: Invitee Created
   - Recipe input: Calendar booking (Calendly/Cal.com) with the invitee's email domain
2. **Filter by Zapier** (optional): only continue if the input is the kind you want (see the recipe's failure modes).
3. **Action:** ChatGPT (OpenAI): Conversation, or AI by Zapier
   - Paste this prompt and map the trigger fields into the {{...}} placeholders:

```
Research the company at {{domain}}. Return: what they sell (1 line), size if publicly stated, 2 recent public items with links, and 3 discovery questions for a first call about [your product]. Cite every fact with a link; write 'not found' instead of guessing.
```
4. **Action:** Formatter by Zapier → Utilities → Import JSON / or Code by Zapier, to split the JSON fields (if the prompt returns JSON).
5. **Action:** Gmail: Send Email (to yourself)
6. **Test each step** with a real example, then turn the Zap on. Keep a human approval on anything customer-facing.

## Recipe steps (from the page)
- Trigger: new booking.
- Extract the company domain from the email (skip gmail.com etc.).
- AI research step with the prompt below.
- Email the brief to yourself 1 hour before (Delay until).

## Where it breaks
- Free email domains: Filter out gmail, outlook and similar addresses, or you'll get a brief on Google.
- Out-of-date news: Ask for dates next to each item and ignore anything older than 12 months.

App and step names follow Zapier's current app directory as of 2026-10-16. Names change, so search the app in the editor if a step looks different.
