Personal admin recipeBill emails into due-date reminders
Utility and phone bills arrive by email with a due date buried somewhere inside. This finds the date and puts a reminder in your calendar.
| Input | Bill emails from known senders |
| Tools | Gmail filter, Zapier, an AI step, Google Calendar |
| Time | Setup about 20 minutes. |

- n8n workflow (.json)Import in n8n: Workflows → Import from file. Then connect your credentials.
- Zapier blueprint (.md)Step-by-step rebuild guide. Zapier has no public import format, so this isn't one-click.
- Open the Zap editorCreate a new Zap and follow the blueprint.
The n8n file has three nodes (trigger, AI step, output) plus a read-me note. We check that its JSON structure is valid, but we haven't run every file in a live n8n instance, so test it with sample data before you switch it on.
Steps
- Trigger: email from your list of billers.
- AI step extracts the amount and due date.
- Create an all-day calendar event 3 days before the due date.
The prompt
From this bill email, return JSON {biller, amount, currency, due_date YYYY-MM-DD}. Null if not stated. Email: {{body}}Sample run
Electricity bill email: 'Amount due €54.20 by 28 October 2026'
{"biller":"Electricity","amount":54.20,"currency":"EUR","due_date":"2026-10-28"}Where it breaks
- Direct debits. If it's paid automatically, filter it out or you'll get pointless reminders.
- Anything customer-facing or money-related. Keep a human approval step until you've watched a few dozen runs and trust it.
Tool names and pricing change often, so check each tool's current docs before you build. Times on this page are estimates, not measurements.
