Ops recipeAlert when a supplier changes a price
Supplier invoices quietly creep up. This compares each new invoice line with the last price you paid and flags increases.
| Input | Parsed invoice lines (see the invoice recipe) |
| Tools | Google Sheets, Make, an AI step (optional) |
| Time | Setup about 30 minutes, once invoices are already in a sheet. |

- Zapier blueprint (.md)Step-by-step rebuild guide. Zapier has no public import format, so this isn't one-click.
- Open the Zap editorCreate a new Zap and follow the blueprint.
The n8n file has three nodes (trigger, AI step, output) plus a read-me note. We check that its JSON structure is valid, but we haven't run every file in a live n8n instance, so test it with sample data before you switch it on.
Steps
- After an invoice row is added, look up the last price for the same item code.
- If the new price is more than 3% higher, send a Slack or email alert.
- Optional AI step: draft a polite query to the supplier.
The prompt
Draft a short, polite email to {{supplier}} asking about the price change on {{item}} from {{old}} to {{new}} between {{date_old}} and {{date_new}}. Under 70 words.Sample run
Item PAPER-A4: 4.20 → 4.65 EUR
Hi, I noticed A4 paper went from €4.20 to €4.65 between our September and October invoices. Could you confirm whether that's a new list price, or whether our usual rate still applies? Thanks, Andrius
Where it breaks
- Item names change. Match on item code, not description, where possible.
- Anything customer-facing or money-related. Keep a human approval step until you've watched a few dozen runs and trust it.
Tool names and pricing change often, so check each tool's current docs before you build. Times on this page are estimates, not measurements.
